Invite a teammate and set their role

Add a person to Verbial, choose their role and department, and have them sign in with Google or an emailed link. No Google account needed.

Inviting someone creates their account and sets their initial role so they land on the right dashboard. This article covers the invite, the role choice, and what the person does next.

Steps

  1. Go to Team in the sidebar. Admins see the full directory with search, filters, and an Archived toggle.
  2. Click Add user.
  3. Enter their work email and name.
  4. Pick one or more roles. Start narrow, for example Member, and add capabilities later if needed. See Understand roles.
  5. Optionally assign a department and tick Is director if they lead it.
  6. Leave Email them an invite ticked so they get the sign-in link straight away, then save. The account is created at once and the seat is counted.
  7. They sign in at your workspace address with Google, or by asking for a one-time link sent to the invited email. No Google account is needed.

What happens on first sign-in

With Google, the first successful sign-in binds the person's Google account to their user record, so they keep access even if their Google primary email later changes. With the emailed link, the mailbox is the identity: each link works once and expires in 15 minutes. If the workspace has an allowed-domain list, first sign-in is checked against it unless you marked the person as external. If your workspace requires two-factor authentication for their role, they set that up right after their first sign-in.

What to check

  • Per-person weekly billable targets are set on the Team page. The setup wizard sets a default for everyone without one; adjust individuals afterwards.
  • Slack notifications require the person's Slack member id on their Team page. See Slack and connected accounts.
  • Roles on the proposal side (Sales, Account manager, Account director, Admin) and the time-tracking side are separate axes. A person can hold a role on one, the other, or both.

Questions

Does the invite send an email?

Yes. Email them an invite is ticked by default on the Team page and in the setup wizard, so a short note with the sign-in link goes out. The account exists immediately either way. If the email never arrived, open the person from Team and click Resend invite.

Do they need a Google account?

No. Everyone can sign in with Google or by asking for a one-time link sent to their invited email address. Admins can switch either method off under Settings, then Security.

What if we have reached our seat limit?

The invite is refused with a message. Archive someone you no longer need or choose a larger plan at Settings, then Account & billing, then Billing.

Do archived people count as seats?

No. Only active, non-archived users count toward included seats and per-seat billing.
